Housecall Pro pricing: the user caps and what happens at each one
Housecall Pro has three published plans, and each one caps the number of users. The prices are easy to read. The bill at the edge of each cap is what takes some arithmetic, so this guide works through it with real headcounts.

Three plans, three caps
Prices below were read on October 6, 2026. Housecall Pro also shows a first-month promotion, which we leave out.
| Plan | Monthly | Billed annually | Users included |
|---|---|---|---|
| Basic | $79 | $59 a month | 1 |
| Essentials | $189 | $149 a month | 5 |
| MAX | $329 | $299 a month | 8, then $35 a month per additional user |
Only MAX lists a price for extra users. Basic and Essentials list a user count, so the way past either cap is the next plan up.
The cap jumps with a worked example
Take a shop that grows from 4 people to 9. Monthly billing, list prices.
| Users | Plan | Math | Monthly |
|---|---|---|---|
| 4 | Essentials | $189, 5 users included | $189 |
| 5 | Essentials | $189, 5 users included | $189 |
| 6 | MAX | $329, 8 users included | $329 |
| 9 | MAX | $329 + 1 x $35 | $364 |
Going from 5 to 6 users costs $140 more a month, because the sixth person moves you from Essentials to MAX. That is $1,680 a year for one hire. On annual billing the same jump is $149 to $299, or $150 a month.
Going from 6 to 8 users costs nothing. Going from 8 to 9 costs $35. The expensive moment is the sixth user, not the ninth.
Count office staff before you pick a plan. If you have 4 technicians and a dispatcher and a bookkeeper who both need logins, you may be at 6 users, not 4. Ask Housecall Pro whether those roles count toward the cap, because the answer decides whether you sit on Essentials at $189 or MAX at $329.
Also check which features you would use on the cheaper plan. If routes and QuickBooks sync are all you need from the upper tiers, Essentials covers them for five people. If you will use recurring service plans or open API access, MAX is the cheapest plan that lists them.
CalSpark is $49 flat at every one of those headcounts, so the gap at 6 users is $280 a month. That compares price only. The next section shows what you get for the difference.
What each tier includes
- Basic: estimates and invoicing, online booking, scheduling and dispatch, price book, job costing, review management.
- Essentials, on top of Basic: routes for grouping and sequencing jobs, flat-rate pricing, checklist automations, photo reports, employee GPS tracking, commissions, QuickBooks Online sync.
- MAX, on top of Essentials: sales proposal tool, recurring service plans, route optimization, open API access, dedicated onboarding, escalated phone support. Zapier access is on MAX per the pricing FAQ.
Every plan includes live phone and chat support, a free mobile app for iOS and Android, offline viewing, and card processing listed as low as 2.59%. Bank payments are 1%.
If you want QuickBooks sync, you need Essentials. If you want recurring service plans or route optimization, you need MAX, which is the 6th user jump above.
The trial, the contract and the other products
The trial is 14 days with no credit card and full access to MAX, so you will see features that a cheaper plan lacks. The FAQ says there are no long-term contracts.
The page also lists CSR AI, Pipeline, Payroll, Accounting, Business Coaching, Voice, Campaigns, VGPS and Dashcams, Tap to Pay and Websites. No prices are shown for them on the pricing page. Do not assume they are free or that they cost extra. Ask what is included in the plan you pick.
Questions to ask before you pay
- Does office staff count toward the user cap?
- Which exact features from the MAX trial are missing on the plan I am buying?
- What do I pay in month one, and what does month two look like?
- If I add a sixth user mid-month, how is the move to MAX billed?
- Which of the listed products do I need, and what do they cost?
Who each tier suits
Basic suits one person. Essentials suits a crew of up to 5 that wants routes and QuickBooks sync. MAX suits a team of 6 to 8 or more that wants recurring service plans, route optimization and an API, and is happy to pay $329 or more.
CalSpark is the narrower tool. It has no route optimization, no QuickBooks sync and no price book. It does have scheduling, dispatch, estimates, recurring jobs, invoices and card payments for $49 a month flat up to 10 users. See CalSpark vs Housecall Pro and the cost calculator.
