Per-user vs flat pricing in field service software
Most field service tools charge by the seat or by plan tier. Some charge one flat price. Here is how each model behaves as a trades shop hires, with the arithmetic shown.

The three pricing models you will meet
Field service software pricing comes in three shapes. Knowing which one you are looking at tells you how your bill will move as the shop grows.
- Per user. A base price covers one user. Each extra person adds a fee. The bill rises in a straight line with headcount.
- Tiered plans with user caps. Each plan covers a set number of users, such as 1, 5 or 8. The bill is flat inside a tier and jumps when you cross a cap.
- Flat. One price covers everyone up to a limit. The bill does not move when you hire inside the limit.
- Quote only. No price is published. You request pricing, often per technician, after a demo.
None of these is dishonest. They fit different shops. A one-person operation does well on a per-user plan. A ten-person crew usually does better on a flat price. The mistake is to price the tool for the team you have today and ignore the team you will have in a year.
What each model costs at 2 to 10 users
Public prices read on October 6, 2026, monthly billing, no long-term commitment. Plans change, so check each vendor before you decide.
| Users | CalSpark | Jobber Core | Jobber Connect | Housecall Pro |
|---|---|---|---|---|
| 2 users | $49 ($49 flat) | $78 ($49 + 1 x $29 = $78) | $199 ($199 (5 users included)) | $189 ($189 (5 users included)) |
| 3 users | $49 ($49 flat) | $107 ($49 + 2 x $29 = $107) | $199 ($199 (5 users included)) | $189 ($189 (5 users included)) |
| 5 users | $49 ($49 flat) | $165 ($49 + 4 x $29 = $165) | $199 ($199 (5 users included)) | $189 ($189 (5 users included)) |
| 6 users | $49 ($49 flat) | $194 ($49 + 5 x $29 = $194) | $299 ($299 (10 users included)) | $329 ($329 (8 users included)) |
| 8 users | $49 ($49 flat) | $252 ($49 + 7 x $29 = $252) | $299 ($299 (10 users included)) | $329 ($329 (8 users included)) |
| 10 users | $49 ($49 flat) | $310 ($49 + 9 x $29 = $310) | $299 ($299 (10 users included)) | $399 ($329 + 2 x $35 = $399) |
Two things show up. Jobber Core rises $29 for every person you add, and the Jobber pricing page switches to bundled Connect plans for teams of 2 to 5 and 6 to 10. Housecall Pro stays flat inside a plan, then jumps: going from 5 users to 6 moves you from Essentials to MAX and costs $140 more a month. CalSpark stays at $49 until you pass 10 users.
Use the cost calculator to run your own headcount. ServiceTitan is left out of the table because it publishes no prices.
The table compares price only. Jobber and Housecall Pro do things CalSpark does not, such as quotes and QuickBooks sync. A lower price is worth little if you need what it leaves out.
What happens when you hire
Say you run a 5-person shop and take on a sixth. On a per-user plan the new hire adds a fee, usually around $29 to $35 a month. On a tiered plan it can add much more if you cross a cap. On a flat plan it adds nothing.
Over a year the gap is real. At 10 users, Jobber Core plus added users is $310 a month and Jobber Connect is $299, against $49 for CalSpark, a difference of $3,000 to $3,132 a year. At 6 users on Housecall Pro MAX, $329 against $49 is $3,360 a year. These are list prices for the plans shown, not what every shop pays.
Also count who is a user. If office staff, a part-time bookkeeper or an apprentice each need a login, each may count as a seat. In CalSpark all roles count toward the same 10.
How to choose
- Write down the headcount you will have in 12 months, including office staff.
- List the features you use every week. Be strict. Quotes you send twice a year do not count.
- Price each tool at that headcount using its published plans. Where there is no published price, ask for a written quote.
- Add the features you would need from a higher plan. A cheap plan that lacks the features you use may cost more once you upgrade.
- Compare the yearly total, not the monthly one. Annual billing often lists lower, so compare like with like.
If your list is short, a flat-priced tool is usually cheaper at 4 to 10 users. If your list is long, a larger tool earns its price. See CalSpark vs Jobber and CalSpark vs Housecall Pro for features side by side.
Where flat pricing does not fit
- Over 10 users. CalSpark's plan stops there. Email support@calspark.app if you are larger.
- One-person shops. A per-user base plan can cost about the same as a flat plan.
- Teams that need QuickBooks sync, route optimization, a price book or turnkey text reminders today. CalSpark does not have them. See what it does not do.
Questions
Is flat pricing always cheaper?
No. For one or two users, a per-user plan can cost about the same. Flat pricing wins as headcount grows toward the limit. It also does not buy features a larger tool has.
Do competitors really charge per user?
Jobber's Core card says to add users for $29 a month each, and its page bundles 5 or 10 users into Connect and higher plans. Housecall Pro lists plans with 1, 5 and 8 users and $35 a month per extra user on MAX. ServiceTitan says pricing is per technician. All as of October 2026.
Does annual billing change the comparison?
Yes. Jobber and Housecall Pro list lower prices on annual plans. The table uses monthly billing for every tool. Run your own numbers with the plan you would actually buy.
What counts as a user in CalSpark?
Anyone with a login: admin, front office or technician. Up to 10 users share the one $49 price.
Are card fees part of the price?
No, in any of these tools. Card processing fees are separate. In CalSpark, Stripe sets and charges them.
