An overdue invoice follow-up schedule for contractors
Chasing money goes better with a plan than with a bad mood. Here is a day-by-day schedule from before the due date to day 21 and beyond, with the wording for each step and a clear line between what CalSpark sends and what you do yourself.
By CalSpark team. Published . Updated .
The schedule at a glance
| When | What | Who does it |
|---|---|---|
| 3 days before | Short heads-up with the pay link | You, by hand |
| Due date | Short thank-you-in-advance note | You, by hand |
| +1 day | Friendly reminder | CalSpark, if switched on |
| +7 days | Firmer reminder, invite a call | CalSpark, if switched on |
| +14 days | Final reminder | CalSpark, if switched on |
| +21 days | Phone call | You |
| +30 days | Written final notice, pause new work | You |
The days after 14 are a suggestion, not a rule. Adjust them to your contracts and your customer.
What CalSpark automates, and what it does not
The Overdue invoice chaser (+1, +7, +14 days) automation is off until an admin switches it on under Settings, Automations. It sends emails 1, 7 and 14 days after the invoice due date. Each is only sent in business hours (Monday to Friday, 09:00 to 18:00, company time zone), and only while the invoice is open with an amount due. You can change each delay under Customize, from 1 to 60 days.
- A payment in full stops the sequence. A partial payment that you record does not: reminders keep going while a balance remains, so tell the customer if you have agreed a payment plan, or pause the rule.
- A voided invoice stops it too.
- Texts are sent only to customers with a phone and no email, and only with your own Twilio account.
- Nothing is sent before the due date, on the due date, or after day 14. Those steps are manual.

The wording for each step
The three automatic emails use these variables: {{customer.first_name}}, {{invoice.number}}, {{invoice.amount_due}}, {{invoice.due_date}}, {{invoice.pay_url}}, {{company.phone}} and {{company.name}}.
Before and on the due date (written by hand)
Hi Dana, a quick note that invoice 1042 for $485.00 is due on Friday. You can pay by card from the link in the invoice email, or by check. Thanks, Marcus at Ortega Plumbing+1 day

{{company.name}}+14 days
Subject: Final reminder: invoice {{invoice.number}}
Hi {{customer.first_name}},
Invoice {{invoice.number}} for {{invoice.amount_due}} is two weeks past due. Please pay today or call {{company.phone}} so we can arrange something:
{{invoice.pay_url}}
{{company.name}}Tone: firm, specific, polite
- Name the invoice number, the amount and the due date every time. Vague notes get vague answers.
- Give one next step: pay at the link, or call.
- Assume a mistake first. Most late payers forgot, did not get the email, or are waiting on someone else.
- Never write when you are angry. Read it out loud once.
From day 21: the steps you do yourself
CalSpark does not automate any of this. Put a reminder in your own calendar.
The phone call
Say who you are and why you are calling: "This is Marcus from Ortega Plumbing, about invoice 1042 for $485, due on the 3rd." Ask a question: "Is there something wrong with the invoice, or can we get it paid this week?" Then listen. If they promise a date, repeat it back and send it in writing after the call. If they dispute the work, ask what specifically, and offer to look at it.
The written final notice and pausing work
Around day 30, send a plain written notice with the invoice number, amount, original due date, the dates you contacted them, and a date by which you expect payment. Tell them that until the invoice is settled you cannot schedule further work. Stick to what you will actually do. Offering a payment plan, with partial payments, often works better than silence. The card payment link, which pays into your own Stripe account, collects the full remaining balance, so it cannot take a part payment. Agree the amount with the customer, then record each payment you receive on the invoice yourself.
Late fees, liens and collections have rules that differ by state and by trade, and some require specific notices or deadlines. This is not legal advice. Before you charge a late fee, file a lien or send a balance to collections, check with your state contractor board or an attorney.
Questions
Are overdue reminders on by default?
No. They are off until an admin switches on the Overdue invoice chaser under Settings, Automations.
Can I send a reminder before the invoice is due?
Not automatically. The built-in reminders start 1 day after the due date. Send any earlier note yourself.
What happens if the customer pays part of the invoice?
A partial payment that you record on the invoice does not stop the automatic reminders while a balance remains. Payment in full does. If you agreed a payment plan, tell the customer to expect the reminders or pause the rule. The online card link always asks for the full remaining balance.
Can I change when the reminders go out?
Yes. Under Customize, each reminder has an Amount and a Unit, from 1 to 60 days after the due date. You can also edit the wording.
Does CalSpark handle late fees or collections?
No. Those are manual and legally sensitive. Check your state rules first.
